Getting Started
What is Waresport?
Waresport is an all-in-one sports club management platform built for youth and amateur sports organizations. It combines scheduling, online registration, billing, facility booking, team communication, payroll, and AI-powered automation into a single platform — replacing the spreadsheets, paper forms, and stitched-together tools that most clubs still rely on. Over 2,400 clubs across 30+ sports use Waresport to run day-to-day operations.
Does it cost anything to create a Waresport account?
Waresport's signup page offers a 7-day free trial. Since the page does not explain whether payment details are required or when billing begins, users should verify these terms during signup.
How long does it take to get set up?
Most clubs are up and running in under an hour. The setup flow walks you through creating your organization, adding your sports and teams, importing your roster (CSV or from a prior platform), and enabling online registration. Club plans and above include a live onboarding session with the Waresport team. Guided walkthroughs, video tutorials, and in-platform FAQs cover every step — and you can message support directly from the dashboard at any point.
Can I migrate from TeamSnap, SportEngine, or another platform?
Yes. Waresport supports CSV import for rosters, schedules, and billing records from any platform. Pre-built migration templates exist for TeamSnap, SportEngine, Jackrabbit, and Amilia. The onboarding team assists with data migration at no cost on Club plans and above. Most clubs are fully migrated and live within 48 hours.
What sports does Waresport support?
Waresport supports all major youth and amateur sports: soccer, basketball, tennis, swimming, baseball, softball, volleyball, lacrosse, field hockey, ice hockey, football, gymnastics, wrestling, track and field, cross country, cheerleading, dance, martial arts, and rugby. Multi-sport organizations manage all programs from a single account. Custom sport types can be created for niche programs.
Pricing & Billing
How much does Waresport cost after the free trial?
Paid plans start at $69.99 per month for up to 75 athletes. Pricing increases with organizational capacity, while annual billing provides a stated 20% saving compared with monthly billing.
What payment processing rate does Waresport charge?
Waresport charges 3.4% + 80¢ per transaction — lower than the industry average of 3.9% + $0.90 charged by most competing platforms. For a club collecting $100,000/year in dues and fees, that difference adds up to roughly $500 in savings. There are no setup fees, monthly minimums, or additional gateway fees. Payments are powered by Stripe and deposited within 2 business days.
Can I cancel my subscription anytime?
Yes — no long-term contracts, no cancellation fees. Monthly subscribers cancel before their next billing date. Annual subscribers who cancel early receive a prorated refund for unused months. Your data is exportable at any time and remains accessible in read-only mode for 90 days after cancellation. Waresport does not hold your roster, payment history, or registration data hostage.
Features
Does Waresport support online athlete registration?
Yes. The built-in registration system supports customizable forms, waiver collection, payment plans, installment schedules, sibling discounts, and automatic roster assignment. Registration links embed on your website or share directly. Families complete registration and pay dues in one flow — registration data flows automatically into rosters, schedules, and billing records. No separate payment processor setup required.
How does the AI billing assistant work?
The AI billing assistant automatically sends payment reminders on a configurable schedule, follows up on overdue balances, and can process refunds — either autonomously or with your approval. You set the automation level per capability. Automated finance reports (weekly, biweekly, or monthly) are emailed to admins. For clubs collecting dues from 100+ families, the assistant typically recovers 15–20% more on-time payments compared to manual follow-up.
Does Waresport support coach and staff payroll?
Yes. Coaches log hours from the mobile app, which feeds into automated pay calculations based on your rate structures (hourly, per-session, or flat monthly). Admins review and approve pay runs from the dashboard. Reports export to CSV for QuickBooks, ADP, or any payroll processor. Direct payroll processing is available on Elite and Pro plans.
Does Waresport have a mobile app?
Yes — native iOS and Android apps for three audiences. The parent app covers payments, schedule viewing, and messaging. The athlete app handles schedule, team communication, and check-ins. The coach app manages rosters, attendance, practice planning, and payroll logging. All apps are included on every plan. The admin dashboard is also fully responsive on mobile browsers.
Is Waresport SafeSport compliant?
Yes. Direct one-on-one messaging between coaches and athletes under 18 is disabled by default. All conversations are logged, and parent accounts are automatically copied on any coach-to-minor communication. These controls align with the communication safeguards outlined in the U.S. Center for SafeSport's minor athlete abuse prevention guidelines (MAAPP). Audit logs are available for export on Elite and Pro plans.
Comparisons
How is Waresport different from TeamSnap or SportEngine?
TeamSnap and SportEngine handle scheduling and messaging well, but both require third-party tools for registration, facility management, and payroll — and neither has AI-native billing automation. Waresport consolidates all of that in one platform, charges a lower payment processing rate, and includes a parent and athlete mobile app on every plan including the lowest tier. Migrating from TeamSnap takes under an hour using Waresport's import tool.
What is the best sports club management software for small clubs?
For clubs under 100 athletes, Waresport's Starter plan at $49/month (or $39/month annually) covers scheduling, online registration, team messaging, and payment collection with no setup fees. The iOS and Android apps are included. The 7-day free trial requires no credit card, so small clubs can test the full platform before committing. Most Starter clubs break even on the subscription cost within the first month through recovered late payments alone.
