Children's Privacy Notice
Waresport takes the privacy of children seriously. This notice explains how we collect, use and protect personal information about children under 13 when a club uses Waresport to manage its youth sports programs. This notice is provided in accordance with the Children's Online Privacy Protection Act (COPPA) and should be read alongside our Privacy Policy.
Who is the operator?

What information do we collect about children?
Waresport does not collect personal information directly from children. Information about a child is provided to the platform by a parent, guardian or an authorized club administrator acting with parental authorization. The types of information a club may collect about a child through Waresport include:
- Name and date of birth, used to identify the athlete, assign age-appropriate teams and verify eligibility.
- Parent or guardian contact information (name, email, phone), used to communicate schedules, updates and account information.
- Emergency contact information, used in case of injury or emergency during club activities.
- Team assignment, division and roster information, used to organize club programming.
- Photos uploaded by the club or parent, used for team rosters and player identification.
- Registration and waiver responses, used by the club for enrollment and liability purposes.
- Attendance records, used by coaches and club administrators to track participation.
How is this information used?
Information about children is used only to provide the club management services that the club has engaged Waresport to deliver. Specifically:
- To register the child for club programs, teams and events.
- To build and manage team rosters and schedules.
- To send schedule updates, game reminders and club announcements to the child's parent or guardian.
- To generate player development reports requested by the club.
- To facilitate tryout evaluations and team placement.
- To maintain attendance and participation records for the club.
We do not use children's personal information for advertising, marketing or any purpose unrelated to the club's sports operations. We do not serve targeted advertising based on children's data. We do not create profiles of children for commercial purposes.
Parental consent
Waresport relies on clubs to obtain appropriate parental consent before collecting information about a child through the platform. When a parent or guardian creates an account and registers a child, the registration process serves as the mechanism through which the parent provides consent for the club to collect and use the child's information as described in this notice.
If a club collects information about a child through a registration form on Waresport, we require the club to confirm that parental consent has been obtained. We do not knowingly collect personal information from a child without parental involvement.
Parental rights
Parents and guardians have the right to:
- Review the personal information that has been collected about their child. You can access most of this information through your Waresport parent account. For additional requests, contact us at privacy@waresport.com or contact your club directly.
- Request that we delete personal information collected about their child. Contact us at privacy@waresport.com or contact your club. If you contact us, we will work with the club to process the request. Please note that deleting a child's information may remove the child from the club's active roster.
- Refuse to allow further collection or use of their child's information. Contact your club to withdraw your child from the program, or contact us at privacy@waresport.com. We will process your request and notify the club.
We will not require a child to disclose more information than is reasonably necessary to participate in the club's program as a condition of participation.
Data retention
We retain children's personal information only for as long as it is needed to provide the club management services described above. Our data retention practices for children's information are as follows:
- Active accounts: Information is retained while the child's account is active and the club maintains an active Waresport subscription.
- Inactive accounts: When a club's subscription ends or when a child is removed from a club's roster, we retain the information for up to 12 months to allow for season transitions and re-enrollment. After 12 months of inactivity, information is scheduled for deletion or anonymization.
- Deletion requests: When a parent requests deletion, we process the request within 30 days and confirm completion.
- Legal obligations: Certain records, such as payment transaction records, may be retained longer as required by tax or financial regulations. These records contain transaction metadata, not the child's personal profile.

Security
We protect children's personal information using administrative, technical and physical safeguards. These include encryption in transit and at rest, role-based access controls, password hashing, audit logging and least-privilege access policies. Communication safeguards
The platform is configured so that a coach or staff member cannot send a direct, one-on-one private message to a minor athlete. Messages intended for a minor are routed through or copied to a parent or guardian on file. This is consistent with the U.S. Center for SafeSport Minor Athlete Abuse Prevention Policies.
